1. Nature of the Template
What HomeoSync IS
A pre-built Notion workspace designed to help homeopaths and holistic health practitioners organize client records, appointments, symptoms, remedies, and practice operations.
What HomeoSync is NOT
  • Professional, medical, clinical, or legal advice
  • A substitute for clinical training or professional judgment
  • Certified medical records or EHR software
  • A data controller for your patients' information
  • A compliance tool for your local healthcare regulations
Clinical Accuracy
Does not verify remedies, symptoms, or treatment protocols you enter
Regulatory Compliance
Does not ensure compliance with your local healthcare regulations
Automatic Backups
Does not back up your data — you must use Notion's export features
Future Compatibility
Does not guarantee compatibility with future Notion, Make.com, or Stripe updates
2. Your Responsibilities
Clinical & Professional
  • All clinical decisions, diagnoses, and patient care
  • Maintaining professional competence and CPD
  • Professional indemnity insurance as required by your body
  • Compliance with your professional membership standards (e.g., Society of Homeopaths, ARH, FHT)
Regulatory & Legal
  • Compliance with all applicable laws in your jurisdiction
  • UK GDPR / EU GDPR data protection obligations
  • Record-keeping, retention, and confidentiality requirements
  • Obtaining required patient consents for data processing
Technical & Data Security
  • Completing mandatory training webinars before live use
  • Testing the Template in a non-live environment first
  • Regular backups using Notion's export features
  • Securing your account with strong passwords and 2FA
Business Operations
  • Appropriate insurance coverage for your practice
  • Accurate financial records for tax purposes
  • Managing client billing and payment disputes
3. Mandatory Training & Consequences of Non-Compliance
Training Provided
Your HomeoSync purchase includes access to two recorded webinars:
Security & Sharing Best Practices
Covers workspace sharing configuration, preventing unauthorized access, and sharing pages with clients safely.
License Management Training
Covers license terms, prohibited uses, backup procedures, GDPR basics, and disaster recovery.
Your Training Obligations
Watch both webinars in full before using the Template with real patient data
Follow all security and sharing procedures demonstrated
Configure Notion workspace sharing settings as instructed
Re-watch training materials after any major Notion platform updates

Consequences of Non-Compliance: If you fail to follow mandatory training procedures and this results in unauthorized data access, data breaches, or regulatory penalties — we may not liable. The webinars are recorded, timestamped, and archived. By purchasing HomeoSync, you acknowledge you have been provided adequate training to use the Template securely and compliantly.
4. No Warranties
The Template is provided "as is" and "as available."

Your Statutory Rights Are Protected: Nothing in these Terms affects your statutory rights as a consumer under UK or EU law. UK consumers retain full rights under the Consumer Rights Act 2015. This section only excludes warranties to the extent permitted by law.
Fitness for Purpose
We do not warrant the Template will meet your specific practice needs, workflow requirements, or regulatory obligations.
Accuracy
We do not warrant that formulas, calculations, or information are error-free or suitable for clinical use without verification.
Uninterrupted Operation
We do not guarantee the Template will function without bugs, errors, or interruptions.
Security
While designed using Notion's security features, we cannot guarantee prevention of all data breaches — security depends on your implementation of training procedures.
5. Not Liable for Clinical or Business Outcomes
We are not responsible for outcomes arising from your use of the Template in your practice.
Patient & Clinical
  • Patient outcomes, harm, injury, or adverse reactions
  • Clinical errors, misdiagnoses, or missed follow-ups
  • Prescribing errors or adverse remedy interactions
Regulatory & Professional
  • Regulatory penalties, fines, or license suspension
  • Professional disciplinary action or complaints
  • ICO investigations or GDPR breach penalties
Business & Financial
  • Lost revenue, client attrition, or business interruption
  • Billing errors or uncollected fees
  • Damage to professional reputation or goodwill
Data & Technology
  • Data breaches from your Notion account or workspace settings
  • Data loss due to user error or failure to maintain backups
  • Unauthorized access due to weak passwords or shared logins

Not for Critical Use: HomeoSync is a practice management tool. It is not certified or intended for use in life-threatening, emergency, or critical patient care situations. Do not rely on HomeoSync alone for clinical decision-making.
6. No Liability for Third-Party Services
The Template operates on Notion (notion.so), a third-party platform by Notion Labs, Inc. (incorporated in the United States). HomeoSync's terms are governed by England and Wales law; Notion's terms are governed by United States law. These are separate contracts with separate jurisdictions.
Notion Platform Issues
We are not responsible for Notion's uptime, data storage, server security, feature changes, pricing, or account suspension. Disputes with Notion Labs, Inc. must be brought under Notion's Terms of Service (US jurisdiction).

Other Third-Party Integrations
The Template may integrate with Google Calendar, Stripe, Make.com, and Zapier. We are not responsible for their availability, security, API changes, or fees.
You are responsible for reviewing their terms, maintaining subscriptions, configuring integrations correctly, and monitoring service updates.

Our liability is limited to the Template itself — defects in the HomeoSync structure, database design, formulas, documentation, or negligence in Done-for-You/Bespoke services we directly deliver.
7. No Liability for Data Loss or Corruption
You are solely responsible for backing up your data. We are not responsible for data loss, corruption, deletion, or alteration — whether from Notion outages, user error, or compromised credentials.
Back Up Regularly
Weekly at minimum for active practices using Notion's export features (Markdown, CSV, HTML).
Consider Third-Party Backup
Use third-party backup solutions for critical patient and business data.
Secure Your Account
Use a strong unique password and two-factor authentication. Never share login credentials.
Review Notion's Policies
Regularly review Notion's data retention and backup policies for any changes.
8. Limitation of Liability

What We Do NOT Exclude: Nothing limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, defective digital content under the Consumer Rights Act 2015 (for consumers), or any other liability that cannot be excluded under applicable UK or EU law.

The cap applies to the total of all claims arising from the same purchase, not per individual claim, covering the 12 months preceding the date the claim arose.
Training Non-Compliance
Where your failure to follow mandatory training directly contributed to your loss, our liability is reduced proportionately — or to £0 where the loss was entirely caused by your non-compliance.
Types of Loss Excluded
We are not liable for loss of profits, business opportunity, goodwill, data corruption, indirect or consequential losses, regulatory fines, or third-party claims against you — even if foreseeable.
Basis of Bargain
Pricing is set in reliance on these limitations. Without them, the Template would not be economically viable at its current price of £200–£845.
9. Regulatory & Professional Compliance
Healthcare & Professional
  • You hold (or are exempt from) required licenses to practice in your jurisdiction
  • You comply with your professional body's standards and CPD requirements
  • You maintain professional indemnity insurance as required
Record-Keeping
  • Records meet legal requirements for completeness, accuracy, and retention (typically 7 years from last contact in the UK, or until age 25 for minors)
  • Secure storage, access controls, and audit trails are maintained
Data Protection (UK/EU GDPR)
You are the sole data controller for patient data entered in the Template. We do not process, store, or access your patients' data.
  • Obtain valid consent to process personal data
  • Provide privacy notices to data subjects
  • Respond to SARs within 30 days
  • Report breaches to the ICO within 72 hours where required
  • Conduct DPIAs where required

We do not provide legal, regulatory, or compliance advice, and we do not guarantee the Template meets specific regulatory requirements in your jurisdiction. If uncertain about your obligations, seek independent professional advice.
10. No Endorsement or Recommendations
The Template does not constitute an endorsement of homeopathy, any specific remedies, treatment protocols, or therapeutic approaches. References to tools, services, books, materia medica, or practices are for informational purposes only.
No Clinical Recommendations
We do not recommend specific clinical approaches, remedies, or treatment methods.
Sample Data is Demonstrative Only
Any case studies, examples, or sample data in the Template are for demonstration purposes and must not be relied upon for clinical decision-making.
Verify All Clinical Information
You are responsible for verifying all clinical information against authoritative sources.
11. Updates & Changes to the Template
Best-Effort Basis
Updates, bug fixes, and enhancements may be released at our sole discretion. We are not obligated to provide updates or maintain backward compatibility.
Your Responsibility
Review update notes and test updated versions before implementing them in your live practice. We are not responsible for data migration when releasing updated versions.
No Extended Refund Period
Updates do not extend or reset any refund period. We are not liable for disruption or data loss arising from Template updates or your decision to update (or not update).
12. No Indemnification Required
Unlike many software terms, we do NOT require you to indemnify us or cover our legal costs.
Why We Don't Require It
  • Indemnification clauses are often unenforceable against UK/EU consumers
  • It would be unfair to make you liable for claims arising from our own negligence
  • Most practitioners do not have insurance covering third-party indemnification
Our Insurance Coverage
We maintain our own insurance to cover our business activities:

  • Public Liability
  • Cyber Liability
Your liability to us is limited to compliance with these Terms — e.g., not redistributing the Template in breach of license terms.
13. Severability, Entire Agreement & Governing Law
Severability
If any provision is found invalid or unenforceable, it shall be severed and replaced with a valid provision reflecting the original intent. Remaining provisions stay in full force.
Entire Agreement
This Disclaimer, together with the Terms of Use, License Agreement, Refund Policy, Privacy Policy, and Data Processing Agreement (if applicable), constitutes the entire agreement between you and us.
Governing Law
These Terms are governed by the laws of England and Wales. Consumers in Scotland, Northern Ireland, or the EU may bring proceedings in their local courts. Disputes with Notion Labs, Inc. are governed by Notion's Terms (US jurisdiction).

This Template is a tool to support your practice — not a substitute for professional competence, judgment, training, or regulatory advice
